With this guide, you can easily set up your domain email (e.g., info@yourdomain.co.za or sales@yourdomain.co.za) on the Windows Mail app on your laptop, allowing you to send and receive emails directly through the Mail application.
How to Set Up Your Domain Email on Windows Mail on Your Laptop
Step 1: Open Windows Mail on your laptop. If it’s your first time using Mail, a welcome prompt will appear automatically. If not, click the Settings icon in the bottom-left corner, select Manage accounts, then click Add account.
Step 2: In the “Choose an account” window, select Advanced setup, then choose Internet email.
Step 3: In the “Internet email” window, enter your full domain email in the Email field (e.g., info@yourdomain.co.za).
Check the box for Let me set up my account manually, then click Connect.
Step 4: Choose IMAP as the account type on the next screen, then click Next.
(IMAP is recommended as it syncs your email across devices.)
Step 5: On the "IMAP Account Settings" screen, enter the following details:
- Incoming mail server: mail.yourdomain.co.za
- Outgoing mail server (SMTP): mail.yourdomain.co.za
- Username: Your full domain email (e.g., info@yourdomain.co.za)
- Password: Your domain email password
Then click Next.
Immediately after, click More Settings / Advanced and set these values:
• Incoming server (IMAP): Port 993, Encryption: SSL/TLS
• Outgoing server (SMTP): Port 465, Encryption: SSL/TLS
• Outgoing server (SMTP) requires authentication – checked
• Use same credentials for outgoing server – checked
Click OK, then Next.
Step 6: Windows Mail will test the connection.
If successful, you’ll see a confirmation message. Click Finish to complete the setup.
Step 7: Return to the main Windows Mail window.
Your domain email will now appear in the left sidebar, and your emails will start syncing.
Notes for Success
- In Step 5, ensure the server is entered exactly as mail.yourdomain.co.za. Typos here will prevent Windows Mail from connecting.
- The port numbers (IMAP: 993, SMTP: 465) and SSL/TLS settings are critical for secure email transmission. Windows Mail automatically uses these when SSL is enabled under advanced settings.
- If you don’t know your domain email password, reset it following this guide: https://design4africa.com/how-to-reset-your-domain-email-password/ —authentication cannot succeed otherwise.
- If setup fails, ensure your laptop’s internet connection is active and no firewall or antivirus is blocking secure email ports.
