2 Our Business Model and Process
2A Our Business Model
- 2A1. Design4africa operates on a digital-first business model where the majority of services are delivered remotely without the need for physical meetings.
- 2A2. This model enables us to serve clients across South Africa, other African countries, and internationally without geographical limitations.
- 2A3. Our infrastructure, support systems, and communication channels are designed to provide full service delivery through WhatsApp, phone calls, and online systems.
- 2A4. Physical meetings are not part of our standard operating model and are only considered after all digital support options have been exhausted.
- 2A5. This approach allows us to maintain efficiency, reduce delays, and ensure that our resources are optimally allocated across all active clients.
2B Our Process
Initial Contact
- 2B1. Clients may initiate contact through WhatsApp, phone calls, referrals, or online platforms.
- 2B2. Initial discussions are conducted remotely to understand the client’s requirements before any further steps are taken.
Quotation and Invoicing
- 2B3. Based on client requirements, a detailed quotation is prepared outlining the scope of work and associated costs.
- 2B4. Once the quotation is accepted, it is converted into an invoice, or an invoice may be issued directly upon request.
- 2B5. Payment confirms acceptance of the service scope and triggers the project execution phase.
Project Execution and Delivery
- 2B6. After payment or agreement, we proceed with executing the project based on the defined scope.
- 2B7. Clients are provided with progress updates, previews, or access links where applicable.
- 2B8. Feedback and revisions are handled remotely through our communication channels.
Remote Support and Guidance
- 2B9. We provide guidance, support, and advisory services primarily through WhatsApp and phone calls.
- 2B10. Clients are expected to follow instructions and apply guidance on their own systems or devices.
- 2B11. Most services, including setup, troubleshooting, and general business guidance, are effectively handled remotely.
Meeting Conditions and Limitations
- 2B12. Physical meetings are considered only after all remote support options have been fully attempted and deemed insufficient.
- 2B13. Meetings are strictly for structured guidance and advisory purposes and do not replace formal service delivery or contracted work.
- 2B14. Meetings do not include execution of services such as running paid advertising campaigns, designing graphics, managing systems, or performing any work that is offered as a paid service.
- 2B15. If a client requires execution of such services, they must formally hire us through the appropriate service offering.
- 2B16. Examples of excluded work during meetings include, but are not limited to, logo design, flyer design, website development, and paid advertising campaign management.
- 2B17. If a client wishes to learn how to perform a service themselves, they must first engage and pay for that service, after which guidance may be provided as part of that engagement.
- 2B18. This policy ensures fairness, transparency, and prevents situations where services are indirectly delivered without proper compensation.
Client Responsibility and Learning Curve
- 2B19. Clients must understand that skills such as marketing, advertising, and software usage require continuous practice and cannot be mastered in a single session.
- 2B20. Meetings and support sessions are intended to provide direction and clarity, not to replace the client’s responsibility to learn and apply knowledge independently.
- 2B21. Success in using any system or platform depends on repeated use, experimentation, and self-driven learning by the client.
Meeting Scheduling and Preparation Requirements
- 2B22. All meetings must be scheduled in advance and cannot be arranged on the same day.
- 2B23. Clients must provide a clear, written list of all items they require assistance with before the meeting.
- 2B24. This list enables us to prepare, research, and structure the session efficiently.
- 2B25. We do not conduct research, setup, or discovery work during meetings, as this leads to inefficient use of time.
- 2B26. Any additional requests not included in the agreed list may be deferred to a future session.
Travel and Time Allocation Policy
- 2B27. When attending meetings outside our working environment, we dedicate our full time and cannot multitask or attend to other clients.
- 2B28. As a result, all travel-related costs must be covered by the client to ensure fairness and sustainability.
- 2B29. Clients are required to calculate travel costs using the Uber application by entering the exact meeting location and our business address.
- 2B30. The total cost must include a return trip, and the lowest available fare must be selected for fairness.
- 2B31. This amount must be agreed upon and paid in advance before any meeting is confirmed.
- 2B32. This system ensures transparency and eliminates guesswork in travel cost calculations.
Advance Payment and Scheduling Policy
- 2B33. All travel and meeting-related payments must be made at least one day before the scheduled meeting.
- 2B34. Payment confirms commitment and allows us to allocate and clear our schedule accordingly.
- 2B35. We do not schedule or attend meetings based on verbal promises or intentions to pay on the same day.
- 2B36. If payment is made on a given day, the meeting will be scheduled for the following day or later.
- 2B37. This policy protects against last-minute cancellations and ensures proper planning and time management.
Meeting Duration and Repeat Sessions
- 2B38. Meetings are time-bound and must be completed within the agreed duration.
- 2B39. If additional time or sessions are required, each session will be treated as a separate engagement.
- 2B40. Travel costs and scheduling policies apply independently to each meeting, regardless of frequency.
- 2B41. Previous payments do not carry over to future sessions.
3 Security and Access Management
3A Domain Registration and Management
Domain Registration and Ownership
- 3A1. When a customer registers a domain through design4africa™, we collect necessary personal and business information to manage the domain effectively.
- 3A2. All domains registered through us belong to the client as the registrant, and we act as the managing registrar on their behalf.
- 3A3. While ownership remains with the client, we retain operational control where necessary due to the integration with our hosting and service infrastructure.
- 3A4. This control ensures security, service continuity, and proper management of associated systems.
Domain Transfer Process
- 3A5. Clients requesting domain transfer must notify us via WhatsApp or email using their registered contact details.
- 3A6. All outstanding balances on the account must be settled before any transfer request can be processed.
- 3A7. We reserve the right to delay or deny transfer requests until all financial obligations are fulfilled.
3B Web Hosting and cPanel Access
Virtual Private Servers (VPS)
- 3B1. design4africa™ operates its services on Virtual Private Servers (VPS), where multiple client accounts are securely hosted.
- 3B2. Each client account is allocated dedicated resources including memory and storage within a shared server environment.
- 3B3. Resource allocation is managed to ensure performance, reliability, and security across all hosted accounts.
cPanel Access and Security
- 3B4. By default, design4africa™ manages cPanel environments on behalf of clients to maintain system stability and security.
- 3B5. Clients may be granted limited access to specific functions such as mailbox management upon request.
- 3B6. Full administrative access is restricted to prevent misconfigurations, security breaches, or service disruptions.
Unique Scenarios for Full Access
- 3B7. In cases where clients purchase hosting services without bundled website management, full access may be granted.
- 3B8. In such cases, clients assume full responsibility for server configuration, updates, and security.
- 3B9. We provide documentation confirming this responsibility transfer before granting such access.
Role-Based Access Policy
- 3B10. Access to systems is structured based on roles to ensure operational control and security.
- 3B11. Clients are typically granted access to essential features such as email management only.
- 3B12. Backend operations including server configuration, plugins, and system-level settings remain under our control.
Website Combo Packages
- 3B13. Our primary service model includes bundled website combo packages consisting of domain registration, hosting, and design.
- 3B14. Under this model, we retain full webmaster control to ensure consistent performance and maintenance.
- 3B15. This approach allows us to maintain high service standards across all managed websites.
3C Domain Mailboxes
- 3C1. Mailboxes are created upon request by the authorized representative of the account.
- 3C2. Requests must include mailbox name, user details, and a valid external contact email address.
- 3C3. This contact email is used for password resets and system notifications.
- 3C4. All mailbox setup instructions must be submitted through official communication channels.
3D Resetting Passwords
- 3D1. Password management responsibility may rest either with the authorized representative or individual users depending on setup preference.
- 3D2. If centralized control is chosen, all password resets and distributions are handled internally by the authorized representative.
- 3D3. If decentralized control is chosen, individual users are responsible for managing their own credentials.
- 3D4. design4africa™ does not take responsibility for internal password sharing or management within client organizations.
- 3D5. All password reset actions are tied to the registered contact email provided during setup.
4 Payments, Billing and Financial Policies
4A Payment Requirements
- 4A1. Full payment is required before any service is rendered unless otherwise agreed in writing.
- 4A2. All invoices must be paid on or before the due date indicated on the invoice.
- 4A3. Payment confirmation is required before any work, support, or access is provided.
- 4A4. Failure to make payment within the required timeframe may result in delays or suspension of services.
- 4A5. It is the client’s responsibility to ensure that payment is made using the correct reference and banking details provided on the invoice.
4B Accepted Payment Methods
- 4B1. Electronic Funds Transfer (EFT) with no transaction fees.
- 4B2. PayPal payments for international transactions.
- 4B3. ATM cash deposits subject to a 2% deposit fee.
- 4B4. Branch cash deposits subject to a 4% deposit fee.
- 4B5. Ewallet, cash send, or similar digital payment methods.
- 4B6. Payments must only be made to banking details listed on official invoices.
- 4B7. We do not provide banking details via WhatsApp or SMS to prevent fraud and liability.
4C Payment Allocation and Account Management
- 4C1. All payments received may be allocated to the oldest outstanding invoice on the client’s account.
- 4C2. Multiple services under the same account are financially linked and may be affected by unpaid balances.
- 4C3. Payment allocation is managed to ensure proper account balancing and risk control.
4D Suspension of Services
- 4D1. We reserve the right to suspend any or all services associated with an account that has overdue invoices.
- 4D2. Suspension may affect services that are fully paid if other invoices on the same account remain unpaid.
- 4D3. Suspension is applied to enforce timely payment and maintain operational sustainability.
- 4D4. Restoration of services will only occur after all outstanding balances have been settled.
4E Late Payment Fees and Penalties
- 4E1. Due date is indicated on each invoice and must be strictly adhered to.
- 4E2. A late payment fee of R50 or 15% of the invoice amount (whichever is greater) will be automatically applied one day after the due date if payment or valid proof of payment has not been received.
- 4E3. For installment-based payments, the late fee is calculated based on the installment amount due for that specific billing cycle.
- 4E4. For full invoice payments, the late fee is calculated based on the total invoice amount.
4F Due Dates, Renewals and Expiry
- 4F1. Monthly services are due on the 1st of each month with a grace period until the 5th.
- 4F2. Late payment fees apply automatically after the grace period.
- 4F3. Annual renewals must be paid 7 to 30 days before the expiry date to avoid service disruption.
- 4F4. There is no grace period for expired services, and penalties may apply immediately upon expiry.
- 4F5. Additional redemption or recovery fees may apply if services lapse due to non-payment.
4G Termination and Cancellation
- 4G1. Clients must provide a 30-day written notice via email to cancel any service.
- 4G2. Cancellation does not waive any outstanding invoices, and all balances remain payable.
- 4G3. Non-payment may result in termination of services without guarantee of data recovery.
- 4G4. Terminated accounts may lose access to all associated services until full settlement is made.
5 Service Scope, Delivery and Client Responsibilities
5A Provision of Data and Content Requirements
- 5A1. Clients must provide all required content in editable formats such as .txt, .doc, or .docx to ensure efficient processing.
- 5A2. Non-editable formats such as PDF files or images are not accepted for content submission due to inefficiency and risk of errors.
- 5A3. All content must be submitted via official communication channels, including email to creative@design4africa.com.
- 5A4. Failure to provide content in the required format may result in delays or additional charges for content preparation.
- 5A5. We offer copywriting and content preparation services at an additional cost if required.
5B Service Scope and Execution Limitations
- 5B1. Our services are strictly limited to the scope defined in quotations, invoices, and agreed service packages.
- 5B2. Any work not explicitly included in a quotation or invoice is considered outside scope and will require a separate quotation.
- 5B3. We do not perform unpaid work, partial work, or “assisted execution” of services that are formally offered as paid services.
- 5B4. Clients may not request that we perform parts of a paid service under the guise of guidance, assistance, or informal support.
- 5B5. This includes, but is not limited to, logo design, flyer design, website creation, system setup, and paid advertising campaign management.
- 5B6. If a service exists within our offerings, it must be formally engaged and paid for before execution or detailed assistance is provided.
5C Advisory Support vs Paid Services
- 5C1. We provide general business advice, guidance, and support as part of our commitment to client success.
- 5C2. Advisory support may include general direction, explanations, and high-level guidance on business processes and systems.
- 5C3. Advisory support does not include execution, setup, configuration, or management of systems or services.
- 5C4. Clients must clearly distinguish between requesting advice and requesting execution of work.
- 5C5. Any request that requires hands-on work, setup, or management will be classified as a paid service.
- 5C6. This policy ensures fairness, transparency, and prevents indirect delivery of paid services without proper compensation.
5D Meetings, Travel and Cost Structure
- 5D1. We do not charge clients for meetings themselves; however, clients are responsible for all travel-related costs.
- 5D2. Travel costs are calculated using the Uber application based on the exact meeting location and our business address.
- 5D3. Clients must calculate a return trip fare and select the lowest available option for fairness and transparency.
- 5D4. This system ensures that we are compensated for travel without inflating costs or charging arbitrary fees.
- 5D5. Meetings are considered a last resort after all remote support options have been exhausted.
- 5D6. The purpose of meetings is to provide structured guidance, not to perform work on behalf of the client.
- 5D7. We maintain this policy to promote honesty and prevent situations where services are indirectly delivered without proper billing.
5E Learning Responsibility and Skills Development
- 5E1. Clients must understand that skills such as marketing, advertising, and software usage require time, repetition, and practice.
- 5E2. A single meeting or support session does not replace the learning curve required to become proficient in any system.
- 5E3. We provide guidance and direction, but clients are responsible for applying, practicing, and mastering the tools themselves.
- 5E4. Clients may not rely on meetings or support sessions as a substitute for proper training or service engagement.
- 5E5. Continuous improvement depends on the client’s willingness to learn, experiment, and implement independently.

- 6C4. Continued operation of the website depends on active hosting and domain services under our management.

- 6D1. By using our services, clients grant us permission to display completed work in our portfolio.
- 6D2. This includes websites, graphics, videos, and other creative outputs.

- 7E1. We reserve the right to update, modify, or replace these Terms and Conditions at any time.
- 7E2. Updated Terms become effective immediately upon publication on our website.

- 8B2. Failure to renew a domain may result in loss of ownership and service disruption.
- 8B3. Expired domains may incur additional redemption or recovery fees.

8C Hosting and Service Continuity
- 8C1. Hosting services are provided on a subscription basis and must be renewed to maintain service continuity.

- 8C4. Clients are responsible for maintaining their own backups where necessary.
9 Pricing, Discounts and Service Structures
9A General Pricing Principles
- 9A1. All pricing is determined based on the scope, complexity, and resource requirements of each service.
- 9A2. Prices quoted exclude domain registration and web hosting unless explicitly stated.
- 9A3. Pricing may vary depending on project requirements, timelines, and customization needs.
- 9A4. All prices provided in quotations are valid only for the specified period and may change thereafter.
9B Standard Website Design Pricing
- 9B1. Standard Website Design refers to standalone website design services where the Client provides their own domain, hosting environment, or system access. This service does not include bundled products such as domain registration or web hosting.
- 9B2. Standard Website Design applies to basic business or informational websites, including static or moderately dynamic websites, typically ranging from 1 to 20 pages.
- 9B3. Pricing for Standard Website Design is charged per page as follows:
- a. 1 Page Website: R1250 once-off
- b. 2 Pages Website: R900 per page
- c. 3–20 Pages Website: R750 per page
- 9B4. These prices apply only when website design is ordered as a standalone service and does not include domain registration, hosting, maintenance, or any bundled discounts.
- 9B5. For bundled website packages (Website Combos), discounted pricing, or business systems design (including E-Commerce, School Websites, Auto Dealer Systems, Property Listings, Membership Platforms, and similar systems), refer to Section 11 for full pricing and package details.
9C Discounts and Promotional Pricing
- 9C1. We may offer discounts and promotional pricing at our discretion throughout the year.
- 9C2. Discounts are often linked to specific conditions such as inclusion of attribution or bundled services.
- 9C3. Clients who opt out of certain conditions, such as attribution, may lose eligibility for discounted pricing.
- 9C4. If a client removes agreed attribution after receiving a discount, the discounted amount may be invoiced and become payable.
- 9C5. Promotional pricing is limited-time and subject to availability and internal approval.
9D Service Bundles and Ecosystem Model
- 9D1. Our services are structured as an integrated ecosystem including design, hosting, domain management, and ongoing support.
- 9D2. Website Combo packages combine multiple services into a single managed solution.
- 9D3. Clients benefit from improved efficiency, security, and performance through bundled services.
- 9D4. Individual services may be limited when separated from the ecosystem model.
10 General Operational Policies
10A Communication Policy
- 10A1. Our primary communication channel is WhatsApp due to its speed, accessibility, and reliability across regions.
- 10A2. Clients are expected to use WhatsApp for general communication, support requests, and coordination.
- 10A3. Phone calls are used for urgent matters, structured discussions, and scheduled support sessions.
- 10A4. Email is reserved strictly for formal communication, including quotations, invoices, and legal documentation.
- 10A5. We do not use email for sensitive or security-related communication due to fraud risks.
- 10A6. Clients must ensure that their contact details are accurate and accessible at all times.
10B Account Responsibility and Representation
- 10B1. Each client account must have one authorized representative responsible for communication and decision-making.
- 10B2. We communicate primarily with the authorized representative and not with multiple individuals from the same organization.
- 10B3. The authorized representative is responsible for relaying information internally within their organization.
- 10B4. We are not responsible for internal miscommunication, misunderstandings, or disputes within the client’s organization.
- 10B5. All instructions and approvals must come from the authorized representative to ensure consistency and security.
10C Documentation and Self-Service Resources
- 10C1. We provide guides, documentation, and resources to assist clients in managing their services.
- 10C2. Clients are expected to make use of these resources before requesting additional support.
- 10C3. Documentation may include tutorials for email setup, password resets, website management, and other services.
- 10C4. It is the responsibility of the authorized representative to distribute these resources within their organization.
10D Multi-User Assistance Policy
- 10D1. Where multiple users require assistance, the authorized representative must create a WhatsApp group including all relevant parties.
- 10D2. This ensures transparency, accountability, and proper oversight of communication.
- 10D3. We do not provide private support to individual employees outside the supervision of the authorized representative.
- 10D4. This policy protects both parties from miscommunication and unauthorized instructions.
10E Fair Use and Professional Conduct
- 10E1. Clients are expected to engage with our services in a professional and respectful manner at all times.
- 10E2. Abuse of support channels, excessive demands, or attempts to bypass service structures will not be tolerated.
- 10E3. We reserve the right to limit, suspend, or terminate services in cases of misuse or unreasonable conduct.
- 10E4. Our policies are designed to ensure fairness, efficiency, and sustainability for all clients.
11 Pricing, Discounts and Service Scope

- 11A3. Discounted combo pricing may reduce website design costs to as low as R500 per page for business websites when bundled with hosting and domain services, subject to promotional periods and package selection.
- 11A4. A 1-page Business Website Combo typically includes design at approximately R750 plus Startup Web Hosting charged at R75 per month billed annually at R900, resulting in a total package cost of approximately R1,800 including a .co.za domain.

11C Service Scope and Limitations
- 11C1. Each service offered by design4africa™ has a clearly defined scope which is communicated through quotations and service descriptions.
- 11C2. Services outside the defined scope are not included and require separate quotation and agreement.
- 11C3. Clients must not assume inclusion of additional work that has not been explicitly agreed upon.
- 11C4. Any additional requests beyond scope will be evaluated and may result in additional charges.
11D Add-On Services and Paid Service Boundaries
- 11D1. design4africa™ offers specific services such as marketing, paid advertising management, logo design, flyer design, and other creative or technical services as paid add-ons.
- 11D2. These services are structured as professional offerings and cannot be substituted with informal assistance during meetings or support sessions.
- 11D3. Clients may not request assistance to perform these services themselves as a substitute for purchasing the service.
- 11D4. For example, requesting assistance to design a logo, flyer, or run a paid advertising campaign during a meeting is not permitted where such services are offered commercially by us.
- 11D5. This policy ensures fairness and prevents situations where professional services are delivered without proper compensation.
- 11D6. It also protects clients from informal or incomplete execution of services that require structured delivery.
- 11D7. Clients who wish to perform such work themselves must independently learn and practice those skills.
- 11D8. Alternatively, clients may purchase the relevant service and, where appropriate, request guidance as part of a paid engagement.
- 11D9. In such cases, payment for both the service and any associated travel or meeting costs will apply.
11E Transparency and Ethical Charging Policy
- 11E1. We operate on principles of honesty, transparency, and fairness in all pricing and service delivery.
- 11E2. We do not disguise paid services as free assistance, nor do we deliver services informally and attempt to charge later.
- 11E3. This policy ensures that clients are fully aware of what they are paying for and why.
- 11E4. Clients are expected to respect these boundaries and choose between learning independently or engaging us professionally.
- 11E5. This approach maintains trust and protects both parties from misunderstandings or disputes.

- 16B1. Clients are given up to 2 hours to proof-read and request corrections on the completed work.
- 16B2. After corrections are made and the client provides final approval, an additional 2-hour window is provided for final verification.

16C Paid Edits After Approval
- 16C1. Any changes requested after the proof-reading and final approval period will be treated as new work.
