With this guide, you can easily set up your domain email (e.g., info@yourdomain.co.za or sales@yourdomain.co.za) on Microsoft Outlook on your laptop, allowing you to send and receive emails directly through the Outlook application.
How to Set Up Your Domain Email on Outlook on Your Laptop
Step 1: Open Microsoft Outlook on your laptop. If it’s your first time using Outlook, a setup wizard will appear automatically. If not, click File in the top left corner, then select Add Account.
Step 2: In the "Add Account" window, enter your full domain email address (e.g., info@yourdomain.co.za) in the email field. Click Advanced options, check the box for Let me set up my account manually, and then click Connect.
Step 3: Choose IMAP as the account type on the next screen, then click Next. (IMAP is recommended as it syncs your email across devices.)
Step 4: On the "IMAP Account Settings" screen, enter the following details:
- Incoming mail server: mail.yourdomain.co.za
- Outgoing mail server (SMTP): mail.yourdomain.co.za
- Username: Your full email address (e.g., info@yourdomain.co.za)
- Password: Your email password
Click Next to proceed.
Step 5: If prompted, click More Settings or Advanced (this may appear automatically). Go to the Advanced tab and set:
- Incoming server (IMAP): Port 993, Encryption: SSL/TLS
- Outgoing server (SMTP): Port 465, Encryption: SSL/TLS
Then, go to the Outgoing Server tab, check My outgoing server (SMTP) requires authentication, and select Use same settings as my incoming mail server. Click OK.
Step 6: Click Next. Outlook will test the connection. If successful, you’ll see a confirmation message. Click Finish to complete the setup.
Step 7: Return to the main Outlook window. Your domain email will now appear in the left sidebar, and your emails will start syncing.
Notes for Success
- In Step 4, ensure the server is entered as mail.yourdomain.co.za (replace "yourdomain.co.za" with your actual domain). Typos here will prevent Outlook from connecting.
- In Step 5, the port numbers (IMAP: 993, SMTP: 465) and SSL/TLS settings are critical for secure email transmission. If Outlook doesn’t connect, double-check these under Advanced settings.
