How to Add Your Domain Email to Gmail App on Your Mobile Phone.
Follow these steps to set up your domain email (e.g., email@yourdomain.co.za) in the Gmail app on your mobile phone:
Step 1: Open the Gmail app on your mobile phone.
Step 2: Tap the menu button in the top left corner of the screen.
- This is a "hamburger" menu, represented by three horizontal lines.
Step 3: Scroll down to the bottom of the menu options and select Settings.
Step 4: In the Settings menu, you’ll see "General settings" and a list of emails already on your device. At the bottom, tap Add account.
Step 5: You’ll be taken to a new screen titled "Set up email." You’ll see options like Google, Outlook/Hotmail/Live, Yahoo, Exchange/Office 365, and Other. Select Other.
Step 6: On the "Add your email address" screen, enter your full email address (e.g., email@yourdomain.co.za), then tap Next.
Step 7: You’ll see a screen asking, "What type of account is this?" with two options:
- Personal (POP3)
- Personal (IMAP)
Select Personal (IMAP) and tap Next.
Step 8: On the next screen, enter the password for your email address, then tap Next.
Step 9: You’ll now be on the "Incoming server settings" screen:
- Your username (your email address) and password will already be filled in.
- The "Server" field will show your domain (e.g., yourdomain.co.za).
- Edit the server by adding "mail." to the beginning, so it reads mail.yourdomain.co.za.
- Once edited, tap Next.
Step 10: The screen title will change to "Outgoing server settings." Repeat the same edit:
- Change the server from yourdomain.co.za to mail.yourdomain.co.za.
- Tap Next.
Step 11: You’ll be taken to the "Account options" screen:
- Syncing frequency: Choose 15 minutes (this ensures Gmail checks for new emails frequently).
- Check the boxes for:
- Notify me when emails arrive
- Sync email for this account
- Automatically download attachments when connected to Wi-Fi
- Tap Next.
Step 12: On the next screen, titled "Your account is set up and email is on its way":
- Confirm the email address shown is correct.
- In the "Your name" field, enter the name you want to appear on sent emails (e.g., your first name, initials and surname, or full name).
- Tap Next.
Step 13: You’ll return to the Settings screen, where the list of emails on your device now includes your newly added domain email. You’re done!
Notes for Success
- If you’re unsure of your password, click here to learn how to reset your domain email password.
- Pay close attention in Steps 9 and 10: After editing the server to mail.yourdomain.co.za on the "Incoming server settings" screen and tapping Next, the screen will change to "Outgoing server settings." It may look similar, but you must repeat the same edit (adding "mail." to the domain) again. If you skip this, your email won’t work properly.
